Quick Updates

The Quick Updates section gives head office and site teams a single, consistent view of every day's wet-stock capture. Each day is represented by one header record per service station, to which that day's tank dips, pump/nozzle readings and payment entries are attached.

It is available in two places:

  • Back OfficeOperationsQuick Updates — across all sites you are scoped to.
  • Station PortalQuick Updates — limited to your own service station(s).

Both views work identically; the Station Portal version is simply filtered to the signed-in user's sites.


One record per day

Rather than scrolling through every individual entry, you see a clean per-day list:

Column Meaning
Date The business date of the capture
Service station The site the day belongs to
Status In progress while steps are outstanding, Complete once the day is fully captured
Dips Number of tank-dip captures recorded that day
Confirmations Number of confirmations (morning / evening) locked that day
Net gain/loss (L) The day's total in-tank gain or loss in litres

Select View on any row to open the day's detail.


Day detail

The detail view shows everything captured for that day in one place:

  • Tank dips — each window (Morning / Afternoon / Evening), per tank, with volumes and photos.
  • Pump / nozzle readings — opening and closing meter readings and the litres dispensed.
  • Payments — the collection breakdown by method.

This makes a day's record easy to review and, where permitted, edit.


Use the filter bar to narrow the list:

  • Search — match on service station name or code.
  • From / To — restrict to a date range.
  • Service station — focus on a single site (back office only).
  • Status — show only In progress or Complete days.

Click Apply to run the filter, or the button to clear it.


Exporting

  • Export CSV — download the filtered list of day records for reporting or audit.
  • Gain / loss report — see below.

Gain / Loss report

The Gain / loss report calculates in-tank gains and losses from the captured dips and movements, and presents them across all sites for the selected period. This is the head-office view for spotting sites that are consistently gaining or losing stock.

  • Open it from the Gain / loss report button on the Quick Updates list.
  • It respects the same date-range and site filters.
  • It has its own CSV export for further analysis.

What drives gain/loss

In-tank gain/loss is derived from opening stock, deliveries received, sales dispensed and the closing dip for each tank. Capturing all dips and confirmations each day (see Capture Flow & Rules) keeps these figures accurate.
